During these unprecedented times, employers are struggling to ensure safe workplaces for employees to return to work. To address the COVID-19 challenges of safeguarding businesses and employees, 4medica has launched the 4medica COVID-19 Employee Wellness Management solution.

Based on the guidelines determined for COVID-19 exposure and risk developed by the Centers for Disease Control and Prevention (CDC), the solution includes two applications:

  • 4health™: Mobile and web-based COVID-19 wellness questionnaire used to calculate a personal risk score to help employers determine if the employee is safe to return to work
  • 4employer™: Web-based desktop application to securely view and manage employee COVID-19 test results, wellness questionnaire responses, and “COVID-19 Risk Estimates”
What does the 4medica COVID-19 Wellness Management solution do?

The 4medica COVID-19 Wellness Management™ solution is designed specifically for employees to get back to work safely amidst the coronavirus pandemic by offering a real-time communication and wellness platform to privately interact regarding past and current COVID-19 test results and general health status. The secure, easy to use platform serves as a regular checkpoint for employees and helps employers avoid HR risks while protecting your most valuable assets, your workforce.

How does the solution work?

The 4health™ application replaces paper, excel or Google forms with an easy-to-use online wellness questionnaire that generates a COVID-19 risk score per employee. Authorized employer representatives then have access to the employer dashboard in the 4Employer™ application to view each employee’s risk score. The risk scores are easy to interpret for both employees and employers displaying in red, yellow, green on a 1-9 scale.

Is the data private and secure?

Unlike free symptom trackers, the solution is designed in accordance with HIPAA and compliance practices and data is stored in the Google Cloud Platform, which is both HITRUST Certified and HIPAA compliant. Authentication procedures are in place to set up individual employee logins and no personal employee health information is shared with employers. 4medica host 70M+ patient IDs is and is a champion of a nationwide patient identifier to reduce duplicate records. Auditing is available by request.

How do employees use the solution?

Employees are invited via email to join the 4health™ mobile application. After accepting the invitation, employees are presented with a short, easy to answer, questionnaire. Once they respond to the questionnaire, their COVID-19 Risk Score is calculated and presented to them as well as sent to their employer via the 4employer™ desktop application. The application is available in the Apple App Store and the Google Play store.

Is this available for schools and universities?

All United States workforces including K-12 schools, public or private universities are eager to help employees and students return to work or school. The solution is available for any workplace organization with any number of employees, including schools. Most clients using the solution today have 25 or more employees.

Can a wellness representative complete the questionnaire with an employee on-site?

Many employees do not have access to mobile devices or desktop computers. Employers may decide to have an employer representative complete the questionnaire live, in-person when the employee arrives to work a shift. The employee will be authenticated onsite and may complete the online questionnaire at a kiosk or with an employer representative in a private Q&A fashion.

Can you have one device (e.g., tablet) for a nurse to use so that the application is only loaded on one device? For example, a nurse could search a list of employee names, ask the questions and then record the answer on the tablet?

Employers have the option to setup up employee kiosks in their lobbies, or use tablets (iPads) to quickly look up employees previously registered in the employer application. The employer can designate staff members (or contracted nurses) to work directly with each employee to complete the wellness questionnaire, record temperatures and ask other employer specific screening questions.

Does the solution offer COVID-19 results and status validation?

The process starts with a baseline check at pre-negotiated testing facilities on location, at specific laboratories or draw centers and a test result. Staff receive a secure wellness questionnaire in the application along with educational materials and important employer information. Staff who test positive, negative or inconclusive share those results with employers, who then assist them through each step of the process to ensure they remain health as they return to the workplace. The frequency of the questionnaire and other protocols are set by the employer.

Does the solution offer wellness management?

Employers help staff with ongoing testing requirements as needed. Secure messaging and push notifications are available within the application to assist with reminders of established protocols and procedures so that appropriate steps are taken by employees before returning to work.

Does the solution offer lab testing assistance?

4medica offers direct access to pre-arranged lab testing locations for those employees that have an increasing risk score, are experiencing “active” symptoms, or don’t meet the employer’s return to work screening protocols. 4medica has deep roots in the clinical laboratory space with strong relationships among laboratories and laboratory providers nationwide. Some employers do not require laboratory testing and have chosen to opt out of that service, using only the questionnaire with supplemental temperature checks.

What if my employee has an increased risk score but hasn’t been tested?

If an employee has an increased risk score — due to concerns about exposure to COVID-19, experiences of active symptoms or they don’t meet the employer screening protocols for returning to work – 4medica can support employers with direct access to pre-arranged lab testing locations and populating test results in the applications. We can assist by working with the employee health plan and the negotiated laboratories that are part of that network. If the organization is already connected online with those laboratories, 4medica can display the test results back into the application. We offer lab integration services and can manage this on your behalf, if so desired.

Can I place employee lab orders to a contracted (or affiliated) lab partner from the employer app?

The ability to place a lab order is available and configurable in the employer app at the time of setup. We are expanding this feature to include the ability for an employee to schedule a COVID- 19 test from the 4health™ application when the employer requests a lab test to be performed.

Is it possible to display my lab results and have them sent to the employer application?

The 4health™ application (employee application) was developed as a Personal Health Record (PHR); therefore, the employee has the ability to manually upload copies of lab, radiology and other medical results. If the employee is tested at one of the many healthcare facilities to which 4medica is connected, those results can be uploaded easily into the application directly from the source of the test. Only a calculated risk score is available in the 4employer™ application, not the actual result.

Can employees have access to the wellness questionnaire without receiving their COVID-19 test result or other health related information in the app?

The system is set up so the wellness questionnaire can be taken and a risk score assigned without enabling test result or personal health related functionality.

What languages are available for the wellness questionnaire?

The wellness questionnaire is available in English and Spanish.

Is there a way to send or receive “alerts” as the employer when an employee tests positive for COVID-19? Can these alerts be sent to my cell phone or email? Can I set “push notifications” to employees based on COVID-19 company protocols? For example: Can I send a notification to remind an employee to complete a questionnaire before their shift begins? Or, remind employees to take their temperatures and record them in the application?

4medica offers a sophisticated “alerts and notifications” system within the application, alerts/notifications will be able to be sent for a variety of events via secure text message and email. Alerts/notifications are configurable at the employer level.

Is there a way to communicate with my employees that need to get “re-tested” based on a HIGH risk score?

The calculated risk score is sent to the 4Employer™ application immediately upon the employee’s completion of the wellness questionnaire. When the notification system described above is integrated, automatic notifications can be configured to send a reminder to get tested on customizable time frames.

How do you help with ongoing prevention?

4medica offers personalized support with real-time secure messaging functionality for employers. This can include communications about testing reminders, other “safer at work” measures and procedures, and directing employees to approved diagnostic testing sites if needed.

What kind of trending, reporting and analytics are available in the 4Employer™ application?

The 4Employer™ application provides a robust dashboard for several different types of reporting including how many employees are positive, negative or untested and how many employees are in each risk category. The information can be filtered in many different ways to provide the employer statistics needed to manage the COVID crisis.

How long does it take to get up and running on the solution?

The onboarding process is very simple and quick. The 4medica applications are intuitive and provide a stepwise approach with visual cues for ease of use. With every installation, 4medica provides training, documentation and a 24/7 support line.

Is it possible to manually record employees’ temperatures in the employer app when they arrive to work or school?

In addition to each employee recording their temperatures in the 4health™ app, employers can conduct secondary temperature screenings and record temperatures in the employer app when they arrive on location.

Can an employee schedule a lab visit in the employee app and pick their desired lab testing location?

This is a new feature coming in a future release.
